How to use e-transcript

realLegal.com's e-transcript Viewer is easy for our clients to use and learn.  You can even receive electronically signed e-transcripts for paperless certified transcripts. You have the option to print the signature information at the bottom of each page. An electronic signature is a method for signing or verifying a transcript on a computer.

This document guides new users through the basics of the application. For
further information please refer to the online Help (from the menu bar select
Help, Contents) in e-transcript Viewer

Opening the transcript

From your email software, save the file to your local hard drive, floppy drive, or network drive. The file can then be opened from Windows Explorer. From Windows Explorer, double-click the e-transcript (click the left mouse button twice rapidly) to open it. The filename ends with .exe, for example, e-transcript.exe. Double-clicking the transcript opens it with the e-transcript Viewer.

Validating Electronic Signatures

Each time you open an e-transcript that has been signed electronically, a dialog box displays the details of the signature. Clicking the Certificate Page button displays the certificate page. Clicking the Validate Signature button opens the Web browser on your computer, accesses the realLegal.com Web site, and opens a Web page where you can validate the signature.

Note: To validate a signature you must have an active connection to the Internet.

Security/Passwords

e-transcript employs sophisticated security features to protect the integrity of electronic transcripts. e-transcript performs an internal security check to verify that no one has tampered with the file and to verify that the transcript has maintained its integrity through the transmission process. If the sender protected the file with a password, a dialog box prompts you for the password. Enter the password on the required line. For security reasons, the password is often sent separately from the e-transcript. If you did not a receive the password and e-transcript prompts you for it, contact the sender.

Note: If you check the Save Password option, you do not need to enter the password each time you open the file.

Once all security criteria have been met, a customized splash screen appears. Click the Accept button on the splash screen to access the transcript.

Viewing Environment

If you have worked in the Microsoft Windows environment, the graphical user interface of the e-transcript Viewer should be familiar. The following components comprise the e-transcript Viewer user interface:

The Menu Bar
Appears at the top of the screen. To select an option (File, Edit, View, or Help), click on it using the left mouse button. A drop-down menu appears.

The Toolbar
The toolbar provides shortcuts to the following menu bar options: Copy, Index, Text, Find, Previous, and Next. To use any toolbar button, single click on it with the left mouse button.

The Transcript Window
By default the transcript pane displays the actual transcript to the left of the word index. Use the scrollbars immediately to the right of the pane to scroll through the text. You can also use the arrow keys (up, down, left, right) on your keyboard to navigate through the transcript.

The Word-Index (concordance) Window
e-transcript
creates a hyperlink word index for each transcript it imports. The word index includes a full list of word occurrences, followed by the page and line number of each occurrence. When you click a line or page number in the word index, e-transcript automatically jumps to that occurrence of the word in the transcript.

Searching for Specific Text

You can search for specific text or a specific text string within a transcript. To begin a text search, click the Find button on the toolbar, type the specified word, and click the Find button in the dialog box. If it finds the word, e-transcript highlights it. To find the next and previous occurrences of the word in the transcript, click the Next and Previous buttons.

Keyword Searches
You can enter more than one word in the Find dialog box. For example, if you enter the words assets and negligence in the Find dialog box and click the Find button, e-transcript searches for the words and, if it finds them, highlights every occurrence.

Common Words
It is important to know that common words are excluded from the search option (and from the word index). Common words are words such as the, at, it, of, is, and that.

Note: e-transcript Viewer automatically excludes words from searches and the index that occur more than a specified number of times. If you are working with a large transcript, you may need to increase this number. To do so, select Tools, Word Index Option from the menu bar and add a greater number in the first field.

Page Layout, Electronic Signatures and Printing

You can change the page setup, and subsequently the look of the printed document, for the transcript and its word index. Below is a summary of the features. Refer to online help in e-transcript Viewer (from the menu bar click Help, Contents) for detailed information about setting up pages.

Setting up the Page and Printing the e-transcript
To configure the page setup of a transcript before you print it, select File, Page Setup, Transcript from the menu bar. The Transcript Layout section determines the number of transcript pages per printed page. For example, to print four transcript pages on a single printed page, select the 2 columns x 2 rows option. Note that the Print These Pages Full-Sized option, which prints the first page of the transcript full size, is selected by default. You can also select the layout order as vertical or horizontal.

The Advanced tab on the Page Setup dialog box allows you to print at the bottom of each page the electronic signature information, which identifies not only the court reporter but the designated attorney for the transcript.

After you have adjusted the page setup appropriately, select File, Print Transcript from the menu bar to print the transcript.

Setting up the Page and Printing the Word Index
To change the number of columns for a word index, select File, Page Setup, Word Index from the menu bar. Then use the drop-down menu next to the Columns field to select a different number of columns.

After you have adjusted the page setup appropriately, select File, Print Word Index from the menu bar to print the transcript.

Note: Some Court Reporting Firms create e-transcripts with the print feature locked out. If you cannot print an e-transcript, please ask the court reporter, who provided the transcript, for the lockout code.

HTML Web Pages
If you requested an HTML Web Page for the transcript, it will arrive in four segments. All four pages must be stored together in the same directory for the frame structure to work. If your firm does not have an Information Technology Department, contact realLegal.com Technical Support for assistance.
